You can send quick email reminders to slow responders in your document workflow with the click of a button

Is someone causing a bottleneck in your workflow? After a period of time, Plexus gives you the option to send additional email reminders to your approvers and signers to keep your workflow progressing.

There are two ways to send reminders to approvers and signers:


Sending reminders to approvers and signers


Sending reminders from the Dashboard

If you are the author or key stakeholder of a document that is Out for approval or Out for signature, you can send reminders from the Notifications panel on your Plexus dashboard.

First select your filters from the dropdown.

Then click Send a Reminder.

Sending reminders from the Document List

Where users are slow to respond to your requests for approval and signing, we'll show a Remind button on your document timeline.

Step 1. Open the document from your document list.

Step 2. Underneath your timeline, you'll notice a button to Expand.

Click the Expand button to see all templated approvers and signers.

Step 3. Click the Remind button to send an automated email reminder to your approver or signer.


Exceptions to the rule


  • Note that the Remind button will only show for the current workflow round where we've perceived a bottleneck.

  • The Remind button will not show if the user has been sent the work recently and they haven't had ample time to respond.
    โ€‹

  • The Remind button will also disappear if you have recently sent a reminder to this user for this particular document.

Note that you can also set up alerts with additional conditional logic, if you'd like to send reminders that go beyond the workflow.
