This article highlights the Insights reporting tools available for matter management

The Matters report helps teams to understand how their functions are managing the demand for legal matters within your business.


Locating your matters insights


The Insights menu is available only to specific users on Plexus. If you require this level of access, please arrange this via your team.

Step 1. Head to your main menu, and select Insights.

Step 2. A dropdown menu will show the different Insights page reports. Select the Matters report option.


Monitoring activity and performance for matters


The Matters report provides legal function leaders with valuable insight to help allocate resources more effectively, and to identify any performance issues within their teams, and includes:

  • Number of matters created versus closed

  • Number of matters by assignee

  • Number of unassigned matters

  • Number of matters submitted by each organisation unit

  • NEW! Average cycle time of a matter from created to closed

  • NEW! Average response time of a matter from created to first response


Viewing matter activity


The matter activity graph compares the number of created and closed matters based on the selected date range and category selected in the filter panel.

This chart provides a visual representation of how the legal function is managing its matter workload and whether they’re resourced correctly.

The graph also makes it easier to see patterns of operation across the specified time period.


Viewing matters by assignee


You can also view matters by assignee which display how individual assignees are managing their workload.

Like the performance report for contract management, this particular matters report chart can help you to identify which lawyers may be under-resourced .

The chart is coloured based on the different statuses of work assigned to a given lawyer. The status of a matter may be:

  • Open

  • In progress

  • Waiting (internal)

  • Waiting (external)

  • Closed

These will reflect on the chart accordingly, based on the statuses selected in the filters.

This chart also shows the number of unassigned matters that may have slipped through the cracks, or work that can be allocated to a free member of the team.


Viewing matter activity by organisation unit


You can see which organisation units are generating the most legal support requests, which may be helpful for resource planning.

Like the previous chart, this report will also show the different statuses of work submitted by a given organisation unit. The status of a matter may be:

  • Open

  • In progress

  • Waiting (internal)

  • Waiting (external)

  • Closed

These will reflect on the chart accordingly, based on the statuses selected in the filters.


Reviewing matter scorecards


You can see how many matters were created vs closed over a given time period with this scorecard.

These are populated based on the date range and category selected in the filter panel.


Viewing average matter duration


Average matter duration is the average amount of time between the creation of a matter, and the closure of a matter.

It is calculated by measuring the difference between the date where a matter was first created or Open, and the date the matter was moved to a Closed status.

Given that you can move matters to a Closed or Cancelled status, and then back to an Open, Waiting or In Progress status, this reported has been created so that any time spent in the closed or cancelled status will not be counted, should you re-open the matter again.

This metric is also available as a chart, which will display the average matter duration over a set of days or months, depending on the filters selected.


Viewing average time to first response


Average time to first response is the average time between the creation of an Open matter, and when it was first moved to any other status.


Updating filters


Use filters to sort and determine the data to view information in a way that suits you.

You can filter each report by date range, categories/sub-categories or status.


Export this report


The Export button at the bottom left hand corner of your screen will allow you to export the underlying data for every chart and scorecard on the page into a different tab on a Microsoft Excel spreadsheet.

For further information on the Matters that attribute to Matter details related to time, you may like to Export the Matters list to a CSV and analyse the data from the resulting spreadsheet.
