Understanding the workflow timeline

Easily understand how a document is progressing through each stage of the workflow from review to approval and signing

The document timeline view provides crucial, up-to-date information on where a document stands in its approval workflow. The timeline uses a range of contextual information including timestamps, worded labels and colours to depict where a file is in its workflow and where there may be bottlenecks.

Quick definitions for understanding the document timeline


A document’s workflow can consist of up to three (3) stages before it completes its workflow.

A completed stage is marked with a tick. The stage card will be outlined in green.

A declined stage is marked with a cross. The stage card will be outlined in red.

If a stage is in progress, the stage card will be outlined in blue and will show a label to indicate that it's In progress.

If a document has requires an action to progress, the card will be outlined in yellow and will show a label Action required.

As a document moves through each stage, a progress bar will help you see how much progress has been made to date.

The Timeline view will also include helpful context to illustrate who has actioned the document, what action they took on it and at what time. The information will differ depending on where the document is in its workflow.

Plexus will also show you where a given workflow stage is Not required.


Using the workflow timeline in the Review stage of a workflow


When a document requires review, the relevant reviewers will be notified.

When a document has been requires review, only designated reviewers will see the option to Mark in review.

This creates an Activity feed entry that ensures other document stakeholders that the file is being actively reviewed by a member of the appropriate team.

When a document is reviewed by a reviewer, the document stage will display as Review in progress with a timestamp to indicate when the review stage started.


Using the workflow timeline in the Approve or Sign stages of a workflow


Expand the document timeline to see key information about each individual who approved or signed the document, and when they did so.

You can also Collapse this view using the same button.

If a workflow stage has multiple approval or signing rounds, you can also see how many people need to action the stage using the numbers in the top right-hand corner of the tile.


Viewing the workflow timeline for a Completed workflow


When all relevant parties have actioned the document, it will automatically move into Completed stage.

All completed stages will show in green to indicate progress.
