How to edit additional facts on a document in Plexus

Document facts are captured when you upload your files to Plexus. Facts are visible on the Document List, and they can be viewed and edited from the Document facts tab when viewing your document's details.

You can view and organise your key document facts using:

This guide focuses on editing the key facts for a single document. If you would like to edit the key facts for multiple documents at the same time, then refer to this guide instead.


Editing facts from the Document list


You can edit select key facts for your documents individually or in bulk, from the Document list including:

  • Name

  • Document type

  • Organisation unit

  • Counter party

  • Contract value

  • Start date

  • End date

  • Executed date

  • Owner

To edit a key fact from the Document list, you can double click the eligible field, or click the corresponding edit icon.

Make your changes in the pop-up. Then click the Tick to save your changes.

Alternatively, you may refer to the guide on editing key facts in bulk from the Document list.

Top tip! To have visibility of the document when making your changes to the key facts, hold Control / Command and click to open documents in new tab. Then rearrange your browser window to view the file and the facts side by side.

The following section will discuss editing key facts from the Document details page.


Accessing a document's key facts


Step 1. To access your key facts, head to your Document list and select your desired document from the view.

Step 2. You'll see a copy of your document under the Document view. You'll also see the option to toggle across into the Key facts tab.

Under the Key facts tab, you will see various key details, which we'll go through in more detail below.


Viewing an AI-generated summary


For those organisations with AI features enabled, there is an AI generated summary of the document which can be viewed and edited from this panel.

Top tip! If you do not see this field, you can chat to your Customer Success Manager or [email protected] about enabling this functionality for your organisation.


Viewing document key facts


All documents in Plexus have key facts based on the details provided when you uploaded your document into the platform. You can hover over and click on most fields to edit.

We'll go through each of the fields below.

Non-editable facts from upload

Other facts are auto-populated when the document is uploaded or generated. Permanent facts include:

  • Author

  • Created

  • Generated by

Editable facts from upload

Various key facts are editable after the point of document creation. These include:

  • Owner

  • Counterparty

  • Starts

  • Expires

  • Contract value

  • Document type

Automatic facts

Some facts will change automatically as the document progresses through its workflow. Automatic facts include:

  • Status

  • Executed date - this can be edited once a document has an Executed status.

Note: Some fields may be blank. These either won't apply to your document or will auto-populate as the document progresses through its workflow.


Adding and editing key facts


Whilst your key facts are captured upon document upload, you can continue to edit your key facts for existing documents by following these quick steps.

Step 1. From the document facts tab, hover over any key fact without a padlock.

Step 2. Click the selected field when it is highlighted in blue.

Step 3. Update your selected fact and click the Tick icon to save.


Adding and editing additional facts


Sometimes documents may have additional key facts. Additional key facts are based on custom questions that have been configured for your organisation and asked during document upload.

With the right permissions, you can click the button to Add new key facts in the second table in the Key facts tab.

Step 1. Click Add new key fact button, found at the bottom of the table

Step 2. Enter the Heading on the left hand column.

Step 3. Enter the Answer on the right hand column.

Step 4. Click outside of the second box to Save your changes.

The page will then auto-load with your new facts. Any creation or update of a key fact will be logged in the document's activity feed.


Deleting additional key facts


Additional key facts can be removed from a document by clicking the Trash can icon. Click the icon to remove a key fact from a document.

The deletion of a key fact will be logged in the document's activity feed.
