Store authored and executed documents with ease using Store a Document

The Store a Document app makes it incredibly easy to upload legacy documents into Plexus.

Note that if you're looking to create a document workflow with digital signing, you may want to look to our Approve and eSign app instead.


Opening the application


Step 1. There are three main ways to open the Store a document app:

1. Click on the Store a Document app to launch it from your dashboard.

2. Go to the Apps menu and select Store a document

3. Go to the Document list and select Add document. Then select Store a document.

Step 2. Click Browse to upload your document.

A document uploaded to Store a Document can be up to 100MB in size. You may like to categorise a document as:

  • A main document

  • A sub-document for viewing in the platform

  • An internal document to be downloaded out of the platform when required

Step 3. Fill in the document details to help you to search for your file later. You'll have the option to provide as much information as possible including:

  • Document name

  • Document type

  • Whether the document's been executed or not

  • Document start or end dates

  • Document value

  • Currency - with the option to select Other if it is not listed.

  • Custom questions may also display depending on your organisation's settings.

  • Owner - another person who should have access to the document, best used if you are uploading a file on behalf of somebody else.

  • Other parties

Step 4. Click Next to continue.

Step 5. For the last step, you may opt to create simple reminders for your document. Click Create alert to set any reminders for your document. An example of this might be a reminder to renew a document.

Alternatively, if you entered a document expiry date above, by default we'll give you a list of pre-configured options leading up to the document's expiry, however you can still create a custom reminder by clicking the Send on specific date alert option from the dropdown.

Select your recipients, create your alert subject and body message to be sent as an email. For a custom alert, you'll be able to choose a custom Send date too.

Add another recipient or Add myself to the recipients list. Then you may opt to Create new alert emails, in addition to the one you just set.

Step 6. Hit Submit when you're done. We will upload your document into the document's list for easy access to your file later.
