How to upload new or executed versions of existing documents

In addition to editing a document inside our document editor, Plexus provides a range of options to upload new versions of files as new or executed documents.


Uploading new versions


Where a change has been made to an original file, you can upload the updated file as a New version.

Step 1. Open the desired document from your Document list. On the resulting page, you'll see the document details page.

Step 2. Just above the document pane, you'll notice an Upload button. Select New version.

Step 3. Click to Select file to upload the file from your computer.

Step 4. Add an optional comment for the Activity feed before and click Upload.

Your document pane will refresh, showing the new version of your document, and an updated version number.


โ€‹Note: Always check that the signature placeholders have not moved once an amendment is uploaded to the document's workflow.


Uploading executed documents


An Executed document is a fully signed document, with no further approvals or signatures required. Where documents have been signed out of Plexus, and where you would like to keep a record of those signed documents without requiring a signing workflow, you can upload the file as an executed document.

Note: We don't support the uploading of part-signed documents.

To upload a fully executed document from the document details page, go to the Upload button, then click the Executed document option, and upload the fully signed document.

When you upload an executed document, Plexus will assume that the document is fully signed, and will skip to the final tile in the document's workflow timeline. No further action will be required.

Executed documents uploaded here can be up to 100MB in size, however please note that larger file sizes can impact email deliverability, so for larger files, you will need to manually share the document with external users so that they can have a copy of the executed file.

Note that you can also upload and store your executed files using the store a document app.
