Uploading documents with tracked changes

This guide highlights how to upload a document that features tracked changes

Tracking changes or red-lining is used to show edits and amendments for documents in draft or negotiation. Plexus makes it easy to capture, review, approve and reject tracked changes online.

Whilst you can edit a document in the platform to capture tracked changes, from time to time, you may choose to upload a Word document with tracked changes already made on the file.


Uploading a new version


If you've chosen to download your file out of the platform to make changes locally - you'll be able to upload an amendment of that file to record those updates in Plexus, even if that file includes tracked changes.

To upload an amendment, head to the document and click the Upload button. Then click New version.

Select your file from your computer and click Upload. Plexus will refresh the screen with your new uploaded file featured in the document preview.

Where documents or sub-documents are uploaded as new versions to Plexus, we'll ensure that the workflow restarts at the earliest defined stage, whether it be Approve or Sign, to ensure that the right parties have a chance to view the updated files.


Resolving tracked changes with our default editor


To resolve the tracked changes uploaded with your document, click Edit document.

From the editing tab, you will be able to view all tracked changes on the document. Eligible users can click Review to accept or reject the changes. The document preview screen will show existing tracked changes.

For each tracked change, click Accept to incorporate the change into the document. Or click Reject to revert to the original text.

By using the downwards arrows on the menu, you may instead opt to Accept all changes or Reject all changes to review the document quickly.

Once all tracked changes are reviewed, Close the tab to save the changes to the document. Then Accept the file to progress the workflow. You might also like to use our comparison tool for an alternative way to view the changes between versions.


Resolving tracked changes with Microsoft Word for Web


If your organisation has Microsoft Word for Web enabled for your organisation, and a document has been sent to you with tracked changes, you will have the option to approve or reject the changes.

To resolve the tracked changes uploaded with your document, click Edit in Microsoft Word for Web. From the editing tab, you will be able to view all tracked changes on the document.

Hover over a redlined change and Click to view suggestions.

Click the Tick to accept your change. The change will turn green and consolidate within the document as regular text.

Alternatively, click the Cross to reject your change. The change will be striked out and removed from the document.

Once all tracked changes are reviewed, wait until the top left hand corner of the screen reads Saved to Plexus, then Close the tab to save the changes to the document.

If you do not resolve tracked changes, then Plexus will prompt either you, or the next person in the workflow to consolidate any outstanding changes as required.
