Sharing a document

Share documents with teammates or external parties directly from Plexus – no need to leave the platform.

Sharing a document allows swift collaboration with other team members on documents loaded into Plexus. With our permissions documents can be shared internally or externally. The sharing controls on Plexus allow you to:

  • Easily invite others to review and work on documents prior to completion, even if they're external to your company

  • Update access over time. You can add collaborators and remove them as your document requirements evolve over time

  • Execute documents faster and more accurately with collaborative decision making


Sharing a document


Step 1. Go to the Document list to open the document you'd like to share.

Step 2. Click Share in the top right corner.

Share button greyed out?

  • You may not have permission to share this document. Ask the owner or author to share it on your behalf.

  • You may be on a sub-document. Navigate to the Main document first – documents must be shared as a set.

Step 3. Add your recipients.

  • Internal users — type their name and select them from the list.

  • External users — Click Add external user, enter their name and email, then click Add external user.

    External users access the document via their email notification, and will only be able to see versions of the document made visible to them via the Counterparty Portal.

Sharing with someone at your company who doesn't have a Plexus account? Add them as an external user. If they share your email domain, they'll be prompted to sign up and will default to the full Document details view.

To give them the limited Counterparty Portal view instead, Share access via Counterparty Portal when adding them.

Optionally, add a message to include in the email notification, then click Share.

You'll see a summary of recipients once shared.

You can remove access at any time.

Simplified Document details page – can edit, view workflow timeline and document facts as they would within their own organisation; internal activity hidden

Counterparty Portal only – can view and edit; internal activity and workflow timeline hidden
