Organisations who want the ultimate level of flexibility when completing legal or other business reviews on documents can leverage the Flexible Review feature.
From the document details page, select Edit workflow in the top right hand corner of the screen.
If the document is in the Review stage and provided that you have the right permissions, you'll be able to toggle between default reviewers and assigned reviewers to edit the workflow.
Adding default reviewers
The default reviewers tab sends the work to all eligible users in the platform.
Default reviewers are configured for your organisation and are based on:
The document permissions for the eligible reviewer, as managed via Roles
The document type of the file that you have uploaded
The organisation unit for the eligible reviewer, as managed by the user's placement in the Company Structure
By selecting the Default reviewers tab, no further configuration needs to be done to ensure that work is sent to the right person.
To view all potential reviewers for the document, click View default reviewers.
Note that the page may take a few seconds to load the list of eligible users. The screenshot above has had email addresses redacted from view.
From the above list, only one person needs to review the document.
Click Return to workflow to view other options, or to Save your changes.
Adding assigned reviewers
Assigned reviewers will send the work to any specific named user(s) in the organisation.
When choosing Assigned reviewers to complete review, you will be able to type the name of any user with a Plexus account.
Click Add reviewer and repeat for as many reviewers as you wish. For the review stage, whilst all listed individuals will be notified, only one person needs to review the document.
Click Save once you're happy with your changes.
Why should I add someone as an assigned reviewer?
If a document ever needs to be sent back for review, adding someone as an assigned reviewer means that only they will receive a notification to review the document.
Who can I add as an assigned reviewer?
Anyone in the business who has a Plexus account, even if they are in a different organisation unit to you. This ensures that you can effectively collaborate across departments to achieve the best business outcomes on your document.
Who is allowed to edit the assigned reviewers?
Was the document created with Approve and eSign? If so, then refer to this help article to learn more about who can edit the assigned reviewers.
If the document was created with another app then you still have permission to edit the assigned reviewers if:
You are a default reviewer
You are an assigned reviewer
You have a super edit workflow permission. Typically this is given to the Reviewer role by default, but your organisation may have added this permission to a custom role.
