Creating linked documents

Highlight the relationships between files by linking related documents under supporting material

A document's lifecycle goes far beyond the point when it is executed or stored. As contracts are renewed, terminated or superseded by other agreements, lawyers need a fast way to identify where those actions have occurred.

Linked documents allows users to highlight the relationships between files by linking related documents for instant access under the supporting material section.


Accessing documents


To access supporting material, head to the Document list and select the desired document from the view.

You'll see a copy of your document under the Document view. To the right, there is a section for Supporting Material, where additional related documents are housed.


Linking documents


You can link any main or sub-document to your document, excluding any documents or sub-documents already associated with the file.

Click Link a Plexus document and then type the name of the file in the search bar. Select the file that you would like to link. You can search for and select multiple files.

Top tip! You can link up to 50 documents. This excludes any sub-documents or supporting materials also attached to a given file.

If you make a mistake, you can click the X to remove your any errors.

Add an optional comment to be posted to the activity feed, and then click Link.

A hyperlink will be created, linking between the current document, and any documents you have linked. Plexus will create an Activity feed entry to log your actions.

All linked documents will be added to the supporting materials section under a Linked documents heading, with each document's workflow status highlighted accordingly.

Top tip! Linking documents does not change document visibility. This means that if a document is linked, but a given user does not have access to the linked document, they will not be able to see the link.

As a result, external parties will not be able to see the contents of linked documents.

Click the name of the document to quickly access that file. A link is bi-directional, or two-way. This means that there will be a link to return back to the original document from the supporting materials section of any linked file.

Top tip! Specific custom applications allow you to upload and link new files from your computer. In this instance, you will be able to Browse files to upload new linked documents. This functionality does not exist for our standard apps.


Unlinking documents


To remove the link between any documents, click the Unlink button next to the relevant file. Then confirm your changes via the prompts.
