Linking documents to matters

Highlight the relationships between documents and matters by linking related documents under supporting material

A simple request for legal support may result in a document that's approved by other member of the business, or signed by internal or external stakeholders. To reflect these nuances in a company's workflow, we've introduced the ability to link document workflows to matters.

This feature allows users to highlight the relationships between files and their matters, by linking related documents for instant access under the supporting material section.


Accessing matters


To access supporting material for matters, head to the Matters list and select the desired matter from the view.

To the right, there is a section for Supporting Material, where additional related documents are housed.


Linking documents


You can link any main or sub-document to your matter, excluding any documents or sub-documents already associated with the file.

Click Link a Plexus document and then type the name of the file in the search bar. Select the file that you would like to link. You can search for and select multiple files.

Top tip! You can link up to 50 documents. This excludes any sub-documents or supporting materials also attached to a given file.

If you make a mistake, you can click the X to remove your any errors.

Add an optional comment to be posted to the activity feed, and then click Link.

A hyperlink will be created, linking between the matter and selected documents. Plexus will create an Activity feed entry to log your actions.

All linked documents will be added to the supporting materials section under a Linked documents heading, with each document's workflow status highlighted accordingly.

Top tip! Linking documents does not change document visibility. This means that if a document is linked, but a given user does not have access to the linked document, they will not be able to see the link.

Click the name of the document to quickly access that file. A link between a matter and document is one-way only. This means that whilst you can click into the document from the matter, there is no hyperlink back to the matter.


Unlinking documents


To remove the link between any documents, click the Unlink button next to the relevant file. Then confirm your changes via the prompts.


Creating workflows


When you click Create workflow on your matter, Plexus will automatically link that document to your matter. Plexus will note that an Approve and eSign workflow has been created for that document, minimising the chance of duplication.
