Creating Playbooks for Plexus Counsel

Learn how to configure Playbooks in Plexus Counsel to guide AI responses, apply internal policies and manage risk consistently.

Playbooks allow you to define how Plexus Counsel should respond in specific scenarios, reflecting your organisation’s risk appetite, internal policies and preferred negotiation positions. By configuring Playbooks, you can guide when Plexus Counsel should:

  • Accept a clause or propose fallback wording

  • Apply a specific legal or internal rules and policies

  • Structure responses following an approved company format

  • Prompt users to contact a specific person or email within the legal team

  • Follow a specific governing law

Playbooks ensure recommendations are aligned with how your team makes decisions in practice.


Step 1: Configure Your Knowledge


Playbooks apply rules to your Knowledge. If your organisation has existing best-practice documents, internal policies, fallback clauses or negotiation guidelines, ensure these are uploaded to Knowledge first.

Files stored in Knowledge can be explicitly referenced when configuring your Playbooks, helping ensure recommendations reflect your documented standards.


Step 2: Define Your Playbook Scenario


  1. Name. Give your Playbook a clear, descriptive name. Examples might be:

  • Governing Law – Australia Only

  • Payment Terms – 30 Days Preferred, 60 Days Fallback

  • Advice Format – IRAC

Clear naming helps your team – and AI – quickly understand the purpose of the Playbook.

2. Objective. Write a short, outcome-focused objective that describes what the Playbook is designed to achieve. Examples might be:

  • Reject non-Australian governing law unless escalated to Legal.

  • Cap liability at 12 months’ fees, with carve-outs for confidentiality and IP.

  • Require inclusion of our standard privacy clause in all vendor agreements.

A clear objective helps ensure the rule is applied consistently and as intended.

3. Knowledge (Optional). Attach relevant documents from your Knowledge repository, such as:

  • Internal contracting policies

  • Approved fallback clauses

  • Precedent wording

  • Risk guidance documents

Linking Knowledge allows AI to reference your approved language and policies when applying the Playbook.


Step 3: Configure Your Playbook (Chat with AI)


You do not need to know how to prompt AI tools to configure a Playbook.

The name and objective you entered are provided to AI automatically. From there, you can shape the Playbook simply by chatting with the assistant in plain language.

AI will:

  • Ask clarifying questions about your intended position

  • Surface edge cases and exceptions

  • Explore escalation thresholds

  • Confirm fallback positions

  • Test nuance in your rule before formalising it

For example, if your objective is:

Cap liability at 12 months’ fees.

AI may ask:

  • Are there carve-outs (e.g. IP infringement, confidentiality, personal injury)?

  • Should higher caps be permitted with approval?

  • When should this escalate rather than amend?

You can continue the conversation for as long as required. The goal is to ensure AI clearly understands your intent, risk tolerance and practical boundaries before generating the final instructions.

Once you are satisfied that your rule has been fully explored and refined, click “Review and Finalise” to generate the AI-optimised instructions on your behalf.


Step 4: Review and Finalise


Review the proposed Playbook carefully, including:

  • The name

  • The objective

  • Any linked Knowledge documents

  • The AI-generated instructions

You can edit the generated instructions before saving and publishing the Playbook for use across Plexus Counsel.

Top tip! Changes made at this stage will affect how Plexus Counsel operates across your organisation for all users. Ensure the rule accurately reflects your intended position before publishing – and don’t be afraid to test and refine as you go.


Step 5: Trial with Plexus Counsel


Once configured, return to Plexus Counsel and test your scenario again.

This allows you to validate that:

  • Recommendations align with your intended approach

  • Fallback wording is applied correctly

  • Escalations occur where expected


Repeat for Additional Scenarios


We recommend repeating this process across multiple relevant scenarios to ensure comprehensive coverage.

Over time, your Playbooks will reflect a structured, consistent and scalable expression of your organisation’s legal standards.
