Managing the Company Knowledge used for Plexus AI

Plexus AI uses your company's Knowledge to provide recommendations for Marketing Wizard and Contract reviews

Your company's Knowledge is a curated set of precedent documents that Plexus AI uses to inform its recommendations.

Whilst all users across your organisation can View precedents in Plexus, Only users with the permissions to Access account administration can upload or modify Knowledge documents.

Keeping your Knowledge accurate and up to date helps maintain consistency, reduces risk, and improves the quality of AI-powered recommendations across your organisation.

Before uploading documents, it’s helpful to understand what counts as a precedent, and how document weighting affects AI recommendations. We’ll cover both below.

What is a precedent document?


These documents may include approved contract templates, company policies, style guides, playbooks, rules, or any other content that represents how your organisation prefers to structure or interpret legal and marketing work.

  • In the Contract Review module, Knowledge may include template agreements, preferred clauses, fallback positions, and explanatory playbooks. Plexus AI references this material in contract reviews to align with your organisation’s risk profile and negotiation strategy.

    When precedents are configured for contracts, AI can provide intelligent recommendations, ensuring your contracts stay aligned with organisational standards to streamline the contract reviews workflow.

  • In Marketing Wizard, Knowledge may include internal brand guidelines, legal checklists, general marketing rules, and company-specific policies.
    These may go beyond minimum legal requirements, capturing additional standards or internal practices your organisation chooses to follow.

    For example, your company might prohibit advertising alcohol alongside energy drinks, or require that sandwich advertisements always feature wholemeal bread to reinforce healthy eating messages, even where this is not legally mandated.

Plexus AI uses your Knowledge to surface recommendations that not only meet legal obligations, but also uphold your organisation’s internal rules and risk appetite.

Top tip!
If you upload previously executed contracts or real-world examples, remember to remove any personally identifiable or sensitive information (such as names, salaries, or specific deal terms) before saving the document to your Knowledge.

Plexus AI focuses on the clause structure and content — not the confidential details — to provide accurate, standardised recommendations.

Understanding importance weighting


Top tip: This information is crucial for Marketing Wizard precedents. If uploading precedents for Contracts only, you can skip to the next section.

Importance weighting helps Plexus AI understand how influential a document should be when making recommendations. A higher weighting means the document carries more authority or relevance in your organisation’s decision-making.

Use this scale as a guide:

  • 5 – Critical: Core policies, strict rules, or fallback positions that must be followed.

  • 4 – Strongly preferred: Documents that reflect your preferred way of working, with limited flexibility.

  • 3 – Neutral: Standard reference material. The AI will consider it, but it won’t be weighted more heavily than other documents.

  • 2 – Light guidance: Useful context, but not essential.

  • 1 – Low priority: Include for background purposes only — lowest influence on recommendations.

You can apply importance weighting to documents used in Marketing Wizard. This ensures AI recommendations reflect not just what’s available, but what matters most.

Top tip! An importance weighting of three is neutral. Use five for documents that should carry the most influence in AI recommendations – like core playbooks or strict marketing policies.


Uploading precedents


You can upload new documents into your company's Knowledge Management section to ensure Plexus AI uses the most up-to-date information for recommendations.

To upload a document:

1. From the left-hand navigation menu, select Knowledge.

2. Click Upload document in the top right corner.

3. Drag and drop your file into the upload window, or select a file from your device.

4. Then complete the Document metadata panel by filling out the following fields:

  • Name: Give the document a clear and descriptive title.

  • Description: Add a short description to help identify the document's purpose. This description is visible on the Knowledge page only.


5. Assign the document to one or more modules:

  • For precedents that will be used for contract reviews, click the Contract toggle and set the Document type. This indicates the document type where the file will be used as a precedent.

  • For precedents that will be used in Marketing Wizard, click the Marketing toggle, and set the Importance weighting. This Indicates how heavily the document should influence Marketing Wizard recommendations. For example, perhaps a set of company rules on Marketing will have more weight than internal brand guidelines.

6. Once complete, click Save, or to upload multiple documents, you can click Save and add another.

Top tip! You can also use your legal contract standards matrices as a precedent document for contracts, if these rules are pre-defined for your organisation.


Editing existing precedents


You can update the document metadata and weighting if your internal policies, templates, guidelines or preferences change. To edit a document:

  1. Navigate to the Knowledge section.

  2. Find the document you wish to update.

  3. Click the three-dot menu next to the document name.

  4. Select Edit.

  5. Update any metadata for the precedent file as needed.

  6. Click Save to finalise the update.


Previewing precedents


Once a precedent document is uploaded to your settings, you can click that precedent to preview and download that file out of the system, as required.

To preview a precedent document, click the name of the precedent file. Legal administrators might like to use this functionality to verify that the current precedent document is being used to generate recommendations.

You can click to Download precedents out of the platform, and head Back to precedents to return to the previous page.


Deleting precedents


If a document is no longer relevant or accurate, you can remove it to prevent Plexus AI from referencing outdated information.

To remove a document:

  1. In the Knowledge section, locate the document you want to remove.

  2. Click the three-dot menu next to the document name.

  3. Select Delete.

Once you have re-uploaded your new precedent file, you will need to regenerate any contract review recommendations on your active contracts to see the most up-to-date recommendations.


Best practices for managing Knowledge


There are various pre-requisites for uploading precedent documents:

  • File type. Files must be a docx or pdf. We generally recommend docx files for AI features where possible.

  • File size. Each precedent file should be less than 25MB.

  • Review Knowledge documents regularly to keep AI recommendations aligned with your organisation’s latest standards.

  • Use clear and consistent document names to make finding the right Knowledge easier for all users.

  • Avoid uploading documents containing confidential, personal, or transaction-specific information unless it has been fully de-identified.

  • Apply appropriate weightings to signal the relative importance of each document for AI recommendations in Marketing Wizard.
