A guide to inviting new users to Plexus and assigning them a role

Grow your business and enhance collaboration by inviting new users to Plexus. Plexus is designed to easily invite your colleagues to the platform.

In the top right hand corner of most Plexus screens, you'll find a button to Invite a teammate. Click this button to invite your team.

You'll then be able to enter the email/s of your colleague/s. After each email, click either enter or space.

  • A complete email address will turn blue.

  • An incomplete email address will turn red.

Where you have made a mistake, click the backspace button to make further edits.

Quick tip! You can also copy and paste the emails of colleagues from a spreadsheet or alternative document.

Once you have entered the emails of all team members, click the green Invite now button. All users will automatically join the business unit that you are currently logged into. They will be sent an invitation email from [email protected] where they can activate their login and set up their password.

Top tip! Send out an email or associated communications to remind your users that they will have five (5) days to activate their accounts before the activation expires. It's in your best interests to ensure any invited users are active before that 5 day period elapses.

Plexus will automatically determine the first and last names for users based on the email address. With admin permissions, you may like to edit their first and last name for consistency. You will also have the ability to assign or reassign the correct roles and units to each user as required.


Creating new accounts for single sign-on


The above instructions will also work for those organisations who use single sign-on.

With single sign-on, new users whose email address matches your business's company domain will be able to head directly to Plexus to sign in without an invitation.

When your business has set up single sign-on for the organisation, a new user logging in without an invitation will automatically join a nominated default unit for your organisation, and their account will be automatically set up with a default role.

A nominated administrator will receive an email daily, where new sign-ups of this nature arise, so that they can assign or reassign the correct roles and units to each user as required.


Re-inviting a user to Plexus


Plexus account invitations expire after five (5) days. If users do not activate their Plexus account after that 5 day period, then their invitation will expire and you'll need to re-invite them.

To re-invite your users, click Invite a teammate and re-enter that user's email address.

With an administrator's permission, you will be able to navigate to Settings then Users to check that the invited user has retained the correct level of access to the platform.


Re-inviting multiple users to Plexus


If you have multiple accounts requiring re-activation, head to Settings and click Users. From your user list, filter by all Invited account statuses.

Drag your mouse over the email addresses that match the inactive filter. As you do so, the column should highlight in blue. Right click and copy these emails.

Then repeat the above steps to re-invite the user back into the system by pasting their emails into the window provided. They'll receive another account activation email and they'll be reinstated with the same permissions you had allocated them previously.

Top tip! By sending out email communications both (1) on the day that you send the invites, and (2) a day before the invites are due to expire, you can minimise the need to re-invite users. We'll also send out reminder emails on your behalf!
