Nominate someone to approve or sign a document in place of someone else

Whilst a document workflow is initially stated when the document is uploaded, we make it simple for those with the right permissions to make changes to the workflow as required.

In this article, we'll look at delegating document approval and signing to someone else. This may be useful when someone is away or otherwise unable to progress a workflow further. The following guide may also be of interest:


Delegating document approvers or signers


If you've generated a document that's going to be approved and/or signed, you can view the workflow and parties involved from the document details page.

Step 1. Open the document from your document list.

Step 2. Click Edit workflow in the top right hand corner of your screen.

Step 3. To delegate an approver or signer who is yet to action the document, click on the three ellipses found on the left-hand side of the person's name.

Step 4. Click Delegate.

If you are delegating to someone from your organisation, you can type their name directly into the field.

If you are adding an external user, or somebody without a Plexus account, click Add external user and add their name and email address to continue.

Step 5. Click Delegate reviewer / approver / signer once more to confirm your changes. 

Step 6. Click Save in the bottom right hand corner of the screen once you are happy with all changes.

The document's activity feed will reflect your changes once you're done. 

If you've nominated signing locations for the previous signer, we'll automatically update your signing locations with the delegated user's details.
