What do you need to keep for a trade promotion?

NATIONAL:

All entry forms, proof of purchase receipts, barcodes, coupons and ticket butts etc., must be retained for at least 12 months after the promotion has ended.

General records, incl. Terms & Conditions, winners’ names, addresses & their prizes, must be retained for 5 years.

VIC also requires that an accounting of all entries be kept for 3 years.

NSW:

There is no longer a requirement to keep records for conducting trade promotion gaming activities.

However, maintaining records is recommended by the Department, as this will help properly manage activities. Relevant records include valid entry forms, proof of purchase receipts, barcodes, coupons and ticket butts etc.

VIC:

·Records that provide an accurate financial accounting of the lottery·An accurate accounting of all entries;·An accurate reporting of the distribution of prizes, for example, the following may meet the above objectives: how entries were solicited, when and how the promotion lottery was drawn, details of entrants and names and addresses of winners.

ACT:

All relevant records including entry forms, proof of purchase receipts, barcodes, coupons and ticket butts etc.

All entries, whether valid or invalid, must be kept.

SA:

All relevant records including entry forms, proof of purchase receipts, barcodes, coupons and ticket butts etc.

All entries, whether valid or invalid, must be kept.

NT:

If interstate, see other States/Terr.

If NT only, you must retain all entries (incl. entry forms, barcodes, coupons and ticket butts etc.), details of prizes, evidence of prizes being awarded and publication of winners.

QLD:
General records including draw details, prize details and names of winners. Entries are NOT required to be kept.

WA:

All relevant records including entry forms, proof of purchase receipts, barcodes, coupons and ticket butts etc.

All entries, whether valid or invalid, must be kept.

TAS:
No requirements.
