Unlock value from your document list by creating in-system visual graphs and basic spreadsheet calculations

In addition to our contract management and matter management insights, you'll be able to create visual charts and create quick calculations for various details in your document list.

You might recall that your document list is similar to a spreadsheet, allowing the visualisation of data in columns so that you can search, sort and filter your files.

Whilst you can export your data into Microsoft Excel for manual charting and reporting, the Plexus document list also provides teams with basic charting and calculation capabilities in-platform to help visualise your data.

In-platform charts and calculations can be created based off your out-of-the-box and active custom field columns.


Quick calculations


Drag and drop your mouse across the fields that you'd like to measure, to create quick calculations of data on your document list.

The calculations will be found in the bottom right hand corner of the document list.


Creating graphs in your document list


Now that you have the hang of dragging and dropping your mouse over data in your document list, you can now use this skill to drag and drop your mouse over any two columns.

Imagine that these two columns will become your X and Y axis for any charts that you create.

Top tip! It's easiest to highlight columns that are listed side-by-side. You might like to rearrange your document list columns before making your selections.

Right click on your selection and select Chart range. Then choose a desired chart type from the list.

You'll need to be selective about the types of graphs that you choose as not all options will be suitable for the data you've selected.

Plexus will create a basic graph on the document list based on the information you've highlighted on screen.

Alternatively, we'll show the message No data available to be charted if the data isn't suitable for the graph type that you've selected.


Customising your visual graphs


You can customise your visual graphs by clicking the menu button in the top right corner of the screen.

From here, you can preview and select other forms of graphs from the default Settings tab.

You can also toggle between the different pages at the bottom of the side panel to change the colours.

The Data tab will allow you to change the points of data that you've selected. For example, we can change from reporting on Document type to instead reporting on Document status with the click of a button.

The Format tab will allow you to further customise your chart details from chart titles, colours, graph placement and more.


Downloading your visual graphs


Once you've finished customising your graph, click on the chart to close the side panel.

Then hover and click the Download icon to download your image.

Top tip! The data on your documents list is determined by your account's role and company structure. Consider whether you have the correct level of access required to conduct fully-encompassing and holistic analysis for your company documents.
