You can add internal and external comments in the activity feed to spark conversations with different members of the team, and to keep general notes on the document throughout its workflow.

When you add a comment to the activity feed, the following users are notified by email:

  • Author

  • Owner of the document

  • Internal shared users

  • Users listed in the current workflow round

Where any users listed on the workflow are external, those comments need to be marked as external in order for that external user to see it. We'll show you how to achieve this later in this guide.

Adding comments in the activity feed

Step 1. To access a document's Activity Feed, open the document from your Document list.

From the resulting page, you'll find a document timeline showing its workflow, a document preview, space for supporting documents, and an activity feed in the bottom right hand corner of the screen.

Step 2. Scroll down to view the activity feed on the right hand side of the screen.

Creating comments for internal users

Internal comments are a handy tool to retain an audit trail of internal discussions with colleagues collaborating on the document.

To post an internal comment to your team, add a comment using the default Internal dropdown option. Then click Add comment to send all eligible users an email with your notes.

Creating comments for external users

External comments are visible to external users on the external counter party portal.

To create comments for external shared users and counter parties, add a comment ensuring to update the dropdown to External. Then click Add comment to send all eligible users an email with your notes.

All external comments are colour coded and will be shared with external parties with access to your document accordingly.

Responding to comments

Both internal and external users will have the option to Reply to comments from the activity feed. This feature allows smooth collaboration across your Activity Feed as required. Responses on activity feed comments will send a notification to all eligible users via email.

When you add a reply to the activity feed, the following users are notified by email:

  • Author

  • Owner of the document

  • Internal shared users

  • Users listed in the current workflow round
