Digitally or paper sign a document from Plexus

Plexus allows teams to gain digital signatures on their documents in minutes. Drive productivity by using our e-signature module to sign documents straight from your device.

As an external user, you will receive an email from Plexus when you need to sign a document. You can sign a document in Plexus by:

  1. Digitally signing the document

  2. Wet signing the document on paper


Digitally signing a document


Digitally signing documents is the recommended way to execute your documents with ease. We'll send you an email when it's time to sign the document. As an external user, this email will be your only way to access the system.

Step 1. Click the Review and sign button from your email.

You will also have a brief set of instructions in the second half of your email to guide you through the process.

From the resulting page, you will see a document preview to scroll through and review the document as required.

As an external user, you will have reduced visibility on the file's workflow, activity feed and document versions. We have a separate help guide which walks through the functionality on this external counterparty portal in more detail.

Top tip! If a document has been signed by another party, you will be able to preview those signatures in DocuSign once clicking Sign.

Step 2. To sign a document, click Sign in the top left hand corner of the screen.

This will launch the secure DocuSign e-signature platform.

Top tip! If you would like someone else to sign your document on your behalf, please add a comment with the First name, Last name and Email address of the intended signer. The other party will be notified of your request via email.

Step 3. To sign the document, DocuSign will ask to Agree to use electronic records and signatures. Click the checkbox to acknowledge the statement, then click the yellow box to Continue.

Step 4. If your document includes placeholders.

In most instances, the other party will nominate where you need to initial and sign the document.

Where this is the case, you will have the option to click the yellow Start tab to the left hand side of the document. This will anchor the document to the section(s) of the document that you need to sign.

Click the yellow on-page placeholder to sign or initial where requested. Note that your name and any date fields may be pre-filled where they have been indicated on the document.

Step 4A. If your document does not include placeholders.

If the other party has not indicated the placeholders where you are required to sign, you will have the option to Drag and drop those fields onto the document, where required.

Step 5. To digitally sign files in DocuSign, the next step is to adopt your digital signature. Click to Sign where requested on the page.

Check that your full name and initials are spelled correctly, making edits where required. Then select one of the following three options to sign the document:

  • Select style or change style for your signature and initials depending on your preferences
    ​

  • Draw your signature on screen
    ​

  • Upload a scanned signature from your computer

Step 6. Click Adopt and sign once you are happy with your inputs.

Step 7. Complete any further signature or initial requirements, as requested on the document.

​Step 8. Click Finish in the top right hand corner of the screen once you have finished signing the document.

You will then see a completion screen where you may like to Celebrate your signed document πŸŽ‰


Wet signing a document


If you would prefer to sign a hard copy version of the document, you may opt to Sign on Paper instead.

Step 1. Click the Review and sign button from your email.

Step 2. To sign a document, click Sign in the top left hand corner of the screen.

This will launch the secure DocuSign e-signature platform.

Step 3. DocuSign will ask you to Agree to use electronic records and signatures.

Step 4. Click the Other actions menu instead.

Step 5. Click Print and sign from the available list of options.

Step 6. The platform will ask you whether you'd like to Upload or Fax your document, and will set you up with a list of prompts and instructions accordingly.

Step 7. If you'd like to upload your document back into the system

  • Click Download and print your file from your computer.

  • Sign the file and Scan it back onto your computer

  • Click Return document to complete the process

Step 7A. If you'd like to fax your document back to DocuSign

  • Click Download to obtain a copy of the document and Document Cover Sheet.


    ​Note! The Document cover sheet is appended to the first page of your downloaded document and must be included as part of your fax.

    ​It contains a sequence of numbers and letters. These numbers and letters in this Cover Sheet will be used to link your printed and signed document back to the document in Plexus/DocuSign when sent back via fax.

  • Print the file.

  • Count the number of pages in your document, including the cover page and write the number of pages on your Document Cover Sheet in the space provided.

  • Sign the document as required

  • Fax the document (with the cover page as the first page) to the number provided.

The file will update in Plexus and DocuSign.
