To help measure how Plexus is being used across your organisation, the Adoption report provides a high-level overview of adoption across workflows, and professional user activity.
Whether you’re tracking engagement across business units or looking to optimise platform usage, this report gives you the visibility you need to drive informed decisions and unlock more value from Plexus.
Locating the Insights menu
The Insights menu is available to users with the appropriate access. If you don’t currently see this option, please contact your team administrator to request access to the “View reports” permission.
Top tip! The Adoption report shows data across all business units and document types in your organisation – even if your user account doesn’t directly access those documents or teams.
To help maintain confidentiality and reduce noise, there's no breakdown of the individual activity on this view, however administrators can use filters (like sub-organisation or document type) to ensure that the content is most useful for them.
To access Insights:
Navigate to the main menu and select Insights.
From the dropdown, choose Adoption.
This will present a dropdown menu with the different Insights page reports. Select the specific Insights page you would like to view from the dropdown menu.
The Adoption report at a glance
The Adoption report is divided into three tabs:
Workflows – Monitor usage of Plexus workflow usage.
Users – Review login activity and engagement trends.
Each contract management report contains a range of graphs and data arranged into meaningful snippets for you to analyse across two tabs, depending on how you'd like to focus your company adoption.
We'll go through these in more detail below.
Measuring workflow usage
The workflow report shows three charts reflecting gaps in workflow completion. The three charts are not siloed; they often reflect overlapping workflows. Each view offers a different lens depending on your focus:
Workflows started – reveals where teams are initiating processes and can indicate early-stage adoption.
Workflows completed – shows which workflows reach a finished state, helping to identify drop-off points or stalled processes.
Digitised signed – captures signing activity processed via DocuSign and can surface instances where documents are being signed outside the platform.
For customers with AI turned on, AI Activity is automatically captured here for Contract summaries, Contract reviews, Draft advice and Marketing wizard recommendations.
Together, these insights help highlight adoption gaps, training opportunities, and areas to streamline execution across teams.
Use this view to:
Identify underused workflows across the business
Uncover adoption gaps in specific teams or units
Compare how many workflows are started vs completed
Encourage consistent use of Docusign for workflow execution
You can filter this report by Date, Sub-organisation, Module and Document type in the top left corner of the screen.
Measuring user activity
The Professional users tab gives you a quick snapshot of licensed users in your organisation, using the standard definition of a Professional user.
This view includes:
A total count of licensed users;
A breakdown of the permissions which make up our standard professional user definition, and the number of users assigned to those permission sets;
A detailed table showing users, their emails, their organisation units, and their relevant assigned permissions
You can filter this report by Permissions in the top left corner of the screen.
Top tip! The Professional users report uses our standard definition of a Professional user. When changes are made within your Plexus account, it can take up to one hour to reflect the changes on this report.
Use this view to monitor users with additional permissions, providing a single source of truth for any licensed users in your organisation. You may also modify your Roles and Matters Legal Team users to adjust the count.
